Setting Loan Limits

BiblioTECH provides a range of options to allow a librarian to control loan periods and due dates.
Limit Due Dates
There are three Limit Due Date (LDD) settings, Global, Level & Group.
  • The Global LDD entry is an over-riding setting and applies to all Patrons.
  • When a Patron is selected, the system will lookup their assigned Level and Group from which the system will identify the Level & Group LDD values.

BiblioTECH will use the 'earliest' of the three LDD values as the "effective LDD"

When calculating a DueDate, BiblioTECH will check the calculated value against the "effective LDD" and, if after this LDD, will set the Due Date to the LDD value

This allows a librarian to put an upper limit on Due Dates.

Note : Do NOT set any of the LDD entries to a day that is set in the Calendar as 'non-working'.

Setting the LDD values
Global Limit Due Date
  • Open Circulation and select the menu
  • Enter a new Global Limit Due Date

Level Limit Due Date
  • Open Patron Manager, select the [Levels] TAB.
  • Uncheck the [Read Only] tick box
Aside : To clear all Level LDD entries, click on the [Clear ALL Level Limit Due Dates] button
  • Select the target Level and click on [Edit]
  • You can enter a Date to be used as the limit for the Level
      OR
    you can leave it as "Not Set"  (ie.  NO LDD is set for this Level)

Group Limit Due Date
The setting of Group limit due dates is basically the same as per Level, except you do it on the Groups TAB


Maximum Loans
A librarian can set the maximum number of resources that a patron can borrow.

You can set the limit in three ways namely via a individual's Patron record, their Level and their Group.

When BiblioTECH is processing a loan, it checks the Patron's setting, then the Level's setting and finally the Group's setting.
The first entry found that is 'set' is used. That is, it stops checking.
Therefore, if you set the Patron's entry, their Level and Group are not checked - the Patron entry is used.

Aside: Generally, you would not set individual Patron loan limits as this requires significant management overhead.

Patron Loan Limit
  • Open Patron Manager, select the [Patrons] TAB.
  • Uncheck the [Read Only] tick box
  • Locate the target Patron and click on [Edit]
  • Generally, the MaxLoans entry would be  "Not Set".
    If you need to set the value for the patron, un-tick [Not Set] and enter the number of resource that the person can borrow

Level Loan Limit
  • Open Patron Manager, select the [Levels] TAB.
  • Uncheck the [Read Only] tick box
  • Locate the target Level and click on [Edit]
  • By default, the MaxLoans entry is "Not Set", however, in many situations, this is the most convenient place to set the Loan Limit.
    Un-tick [Not Set] and enter the number of resources that patrons in this Level can borrow.

Group Loan Limit
Note: if you have set the limits for all Levels, then the group limits will never be checked and, in that case, do not need to be set.
  • Open Patron Manager, select the [Groups] TAB.
  • Uncheck the [Read Only] tick box
  • Locate the target Group and click on [Edit]
  • As the Group limit is at the bottom of the tree, you cannot set the Group entry to "Not Set".
    Enter the number of resources that patrons in this Level can borrow.


Maximum Loan Days
When a loan is calculated, the system adds the Maximum Loan Days to the current date to obtain the Due Date.
Note : A Limit Due Date may apply, so the actual Loan Period may be less that the Maximum Loan Days setting.

Patron Loan Days Limit
If you need to set the value for the patron, un-tick [Not Set] and enter the maximum loan period
Open Patron Manager, select the [Patrons] TAB.
Uncheck the [Read Only] tick box
Locate the target Patron and click on [Edit]
Generally, the MaxDays entry would be  "Not Set".

Level Loan Days Limit
Un-tick [Not Set] and enter the maximum loan period for patrons in the Level.
Open Patron Manager, select the [Levels] TAB.
Uncheck the [Read Only] tick box
Locate the target Level and click on [Edit]
By default, the MaxDays entry is "Not Set", however, in many situations, this is the most convenient place to set the loan limit.

Group  Loan Days Limit
Note: if you have set the limits for all Levels, then the group limits will never be checked.
Enter the maximum loan period for patrons in the Group.
Open Patron Manager, select the [Groups] TAB.
Uncheck the [Read Only] tick box
Locate the target Group and click on [Edit]
As the Group MaxDays limit is at the bottom of the tree, you cannot set the Group entry to "Not Set".
